Sets help manage larger groups of people enrolled in a workspace by placing them in smaller groups and restricting access to see only where they are assigned.
What is a set?
A set is a subgroup of people within a workspace that can contain:
- members (learners)
- managers (lead tutor, tutor, moderator)
- externals
Where applied, a filtered list of submissions is seen by those assigned, and not the entire workspace cohort.
Sets are useful when:
- assessors are working with a selection of the cohort, not all,
- externals are working with one or two learners, not all,
- learners are working in groups and need to see only their group's work
Enrolment permissions can restrict someone to only the set(s) they are a member of. Typically, lead tutors can switch between all sets.
Create a single set
Create a single set to add a selection of enrolled people.
To create:
- Within the workspace, click Management and choose Sets.
- Click Set Wizard.
- Choose Create a single set and click Continue.
- Type a title (e.g. Set 1) and click Save.
Create multiple sets
Multiple sets can be created at one time based on:
- Lead tutors and tutors
- Tutors
- Moderators
- Specified number
The sets can be titled after:
- The managers' name
- A custom name
During the creation process, members (learners) can be distributed amongst the sets. You can choose to assign:
- No one
- Only members who have submitted work (so far)
- All members
To create:
- Within the workspace, click Management and choose Sets.
- Click Set Wizard.
- Choose Create multiple sets and distribute members and Continue.
- Choose how to create sets based on (lead tutor, tutor, etc...)
- Choose how to title the sets (manager's name / custom)
- Choose who to distribute into sets (submitted only / all)
- Click Save.
Manual enrolment
When the set is created, you can manually control who is assigned to the set.
Add users:
- Click the Add/Remove users icon.
- Use the filters to show unassigned/all people.
- Use the filters to switch between members, manager and externals
- Tick the person's profile (on the left) and click Add selected users.
- The list on the right are enrolled into the set.
Remove users:
- Click the Add/Remove users icon.
- Tick the users' name (on the right)
- Click Remove members.
- The users are moved out of the set.
Removing a user from a set does not unenrol them from the workspace or delete their user account.
Automated enrolment
Where sets already exist, and contain some enrolments already, the remaining people unassigned in the workspace can be distributed amongst the existing sets.
To enrol members:
- Within the workspace, click Management and choose Sets.
- Click Set Wizard.
- Choose Distribute unallocated members into existing sets.
- Choose members who have successfully submitted / all members
- Click Save.
To enrol managers:
- Within the workspace, clickManagement and choose Sets.
- Click Set Wizard.
- Choose Distribute unallocated managers into existing sets.
- Choose lead tutors, managers, moderators
- Click Save
Import to set
People with a PebblePad account can be imported directly into a set. They do not need to be enrolled into the workspace first.
Import to set
- Within the workspace, click Management and choose Sets.
- Click Set Wizard.
- Choose Import a list of users into a single set.
- Choose the set to import to from the dropdown menu.
- Type or paste the usernames of the people to enrol, one per row.
- Click Continue.
To import, one or more sets must be created first.
Import to multiple sets
Use a spreadsheet to prepare an import of enrolments with the format 'set title, username' - for example.
Set 1, learner1, Set 1, learner2, Set 1, manager1, Set 1, manager2, Set 2, learner3, Set 2, learner4, Set 2, manager3,
- Within the workspace, click Management and choose Sets
- Click Set Wizard.
- Choose Import a list of users into new or existing sets using a CSV format.
- Type or paste 'set title, username' one per row.
- Click Continue.
- Click Import.
To import in bulk, the sets do not need to be created first. The import will create the set and enrol people as part of the process.
