Manage external assessor access

To see a submission, an external assessor's account must be given access to the learner's work. An ATLAS Manager can control this, or give it to the learner.






External account overview


When an external assessor requires access to ATLAS to view or assess work, they will need to be issued with an external account to log in. This can be:




A workspace manager is responsible for creating the account. You should clearly advertise how an external person can contact you to obtain this.

Manager-controlled access


Enrolling an external account to the workspace will give access to learner submissions. The permissions granted to the account control how they give external assessment.


This method is used when:

  • as workspace manager, you require full control of enrolments and external access.
  • the details of the external are known, and an account can be created.
  • it's known which workspace / learner the external assessor requires access to.



Once enrolled:

  • The external will see a workspace link on their external dashboard.
  • The learner will not receive confirmation of which external(s) can access their work.


To restrict access to select learners, create a set and assign the learner(s) and external(s) to it.

Learner-controlled access


For the following: a learner's submission must always be shared to ATLAS for the share with external assessor option to be available.


This method places the learner in control of granting external assessors access to their work, with:



1. Restricted control


A learner can:



As workspace manager, you must create the external account in advance.  You can also restrict learners to only choose external accounts:


  • enrolled to the workspace,
  • enrolled to the region,
  • any from the organisation.


If restricted, you must enrol the external accounts to the workspace / region to allow the learner to select them.





2. Non restricted control


A learner can:



As workspace manager, you do not have to create external accounts in advance.




To set up:

  1. Within the workspace, click Management and choose Settings from the sub-menu.
  2. Click Allow members to choose their own External Assessor(s).
  3. Choose Apply restriction, or Allow members to add
  4. Click Save





Manage external sharing


When a learner controls the sharing of their work, as a workspace manager you can still oversee an external assessor's share access. 



The workspace's external enrolment list will show the number of shares with the external account.




You can also see:

  • Submission title
  • Learner name
  • Share date
  • Expiry date (if applied)





You can intervene to remove a share between a learner's work and the external assessor. 



To remove:

  1. Within the workspace, click Management and choose Externals from the sub menu.
  2. Find the external account and click the [1] shares link
  3. Click the bin icon to remove the link


The external account will remain enrolled in the workspace, but unable to access any learner submissions.



Removing an external account from the workspace will delete all existing shares. It will not delete the external account, or impact shares for other workspaces.
Moving a submission to a different assignment or workspace will cease any existing shares, and the learner will be required to reshare with their external assessor.
